Library Acquisitions Business Administrative Associate, Chicago State University, Chicago, Illinois

This business administrative staff is responsible for the management of the departmental budget of Technical Services Department and the library acquisitions budget under the supervision of the Director of Technical Services, and co-works with the library Acquisitions Librarian. This staff also assists Acquisitions Librarian to process the purchase orders from various vendors for library materials.

The processes for acquisitions of library collections include ordering of materials, verifying receipt of items purchased, authorizing payments for the materials, working with vendors for prices, orders and invoices, and producing accountant related documents to process purchase orders and payments based on the financial policies and procedures issued by Chicago State University and the State of Illinois. This position works closely with the Business Manager of the Library and Instruction Services as well as the campus purchasing office. This staff is also responsible for the compilation of statistics on purchases for the administration, selectors, and the Collection Development Committee. Such statistics include annual budget plans and total purchases with balances, list of vendors information with annual corresponding expenditures spent, annual budgets with fund allocations. Works closely with the Acquisitions Librarian and the library professionals in determining fund distributions; performs other related duties as assigned.

QUALIFICATIONS: Required college degree on business management or accounting, three years’ accountant work experiences and background; Work experiences in acquisitions and processes of academic library materials. Supervisory experience, strong communication skills are required. Competence in acquisitions data management is required, as well as knowledge and experiences in use of spreadsheet packages and desktop tools such as Microsoft Excel.

Preferred: Library Science degree besides of business or accounting background, work experiences in library acquisitions processing and experiences with library management system such as Ex Libris Voyager and YBP/GOBI interface.
